Towards a National Collection Digitisation Priorities in Cultural Heritage Survey Privacy Notice

The Towards a National Collection (TaNC) Digitisation Priorities in Cultural Heritage Survey is gathering insights from respondents on digitisation priorities within the GLAM sector to support the Digitisation Prioritisation Project.

Historic Environment Scotland (HES) and the UK Research and Innovation (UKRI) work collaboratively on the Digitisation Prioritisation Project. We (HES and UKRI through TaNC) wish to examine the current practices employed by UK GLAM institutions when determining items for digitisation and to identify the challenges encountered throughout these processes. Conducting an open survey will facilitate the collection of evidence pertinent to these areas.

Data collected from the survey will be analysed by the project team, which includes HES-contracted supplier and advisor, as well as the International Co-lead for N-RICH, who is subject to a collaboration agreement with HES.

All survey responses will be anonymised. Those who choose to be contacted will be asked to provide their name and email address, which the project team will use only to get in touch.

Anonymised survey data will be used to:

  • Contribute to an evidence pack for the business case development of N-RICH.

  • Contribute to public project reports.

By taking part in the open Priorities in Cultural Heritage Survey, you consent to your response being used for these purposes. Survey respondents will be asked to name their organisation. Responses will not be attributed to individual organisations, but all responding organisations will be listed.

Note: To process the content of your survey responses, we may use Artificial Intelligence (AI) software like Microsoft Teams Copilot. AI generated outputs will be reviewed by the TaNC team, comparing them to the original survey responses for accuracy and corrected where required.

Data Protection: HES and UKRI are committed to controlling and processing personal information in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. The personal data collected will therefore be controlled and processed in line with the relevant data protection laws and the accompanying Privacy Notice.

Your Personal Data

Historic Environment Scotland (HES) and UK Research and Innovation (UKRI) (collectively referred to as “we” and “our”) will be the joint Data Controller of your personal data processed in connection with the Digitisation Priorities in Cultural Heritage Survey.

Why We Need It

Personal data will only be collected from survey respondents who choose to opt in to follow-up contact. If you opt in, we will ask you to provide your name and email address. This information will be saved and used only to contact you about follow-up activity related to the survey. We will only collect the information needed for this purpose.

Legal Basis for Processing Your Data

We must have a legal basis for processing all personal data. In this instance, the legal basis is Consent.

Who We Share It With

All the personal data you submit is processed by staff at Towards a National Collection, HES, or by its funder agencies, the Arts and Humanities Research Council and UK Research and Innovation.

How Long Do We Keep It For

As per the HES Privacy Notice and UKRI Privacy Notice, personal data will only be retained for as long as necessary to fulfil the purposes for which it was collected, including legal, accounting, and reporting requirements.

You can request access to the information we process about you at any time. If you believe the information we hold is incorrect, you can request to see it and may in some instances request that it be restricted, corrected, or erased.

  • TaNC is a £18.9 million UKRI research programme (2020–2025) delivered by the Arts and Humanities Research Council (AHRC). It explores how the UK's cultural heritage collections can be better connected, discoverable, and accessible, helping create a virtual national collection.

  • The AHRC secured £2.5 million in Infrastructure Fund Preliminary Activity (IFPA) funding (2025–2027) to develop a prototype for the National Research Infrastructure for Cultural Heritage (N-RICH). If successful, a full business case will be submitted in 2027 for long-term investment.
